It was really great to see you all there. As promised, here is the thread for the Healthcare/NHS User Group Meeting that took place on the 23rd Feb 2012. Feel free to discuss in this thread whether you were an attendee or not.

I will add the minutes of the meeting to this thread in a few moments.

PTS v4.4 Demonstration

Chris Gale presented the latest developments anticipated in V4.4 due to be released mid April 2012. The primary objective of the meeting was to gauge our client’s perceptions of the new system and where practical make any changes that were agreed.

The main features demonstrated included:

Text Messaging – Patients / Ward Staff. This was well received by the attendees in particular seen as useful for patients, probably less useful for medical staff

Outpatient Waiting Screen – Favourable feedback from all concerned

Dispensary Status Screen – This page received mixed feedback with several amendments requested:
Booked in time required for each prescription
Average wait times to have own page as now, but can be supressed if required
Waiting for items to have own page
Prescriptions need to have lapsed time in minutes as now not just progress bar
Facility to sort by waiting time required

Ward Screen – Generally positive feedback and generated the following comments:
Ability to send messages to specific wards would be very useful
Find facility to have flexible time limits as now i.e. prescriptions in the last week or > than 1 week old.

There was some discussion on cancelled items and how to deal with them on wards i.e. perhaps display for a couple of hours then delete with the ability to display all cancelled items upon request.

Instant Activities: The ability to set up activities which are immediately completed e.g. booking in – perceived as a good idea.

PTS Mobile: Option to have PTS on a mobile device such as a smart phone or iPad. Attendees liked the idea but had concerns that limited wireless access and desirability of the items may make adoption difficult. It was decided to put this on a slower development path.

Clarity v2.0 Presentation

Andrew presented another TMS Insight application with possible uses within the NHS. The presentation will be circulated with the minutes. Clarity is seen as a possible replacement for some of our older products Tel-PARS and Insight 20/20.

Anne Jennings from Sheffield Teaching Hospitals is to be sent Clarity as a possible replacement for her older Insight 20/20 product.

Graham Drummond, Warrington, after the presentation asked if Clarity could be used for simple time recording and the answer is yes and Clarity can generate timesheets if required.

Future System Development

Chris led a discussion to ascertain what additional features or changes to our products users would like to see. The main points raised can be summarised as follows:

Link to JAC for recording drug details for error reporting

PTS Communication client to auto detect which comms ports have been allocated to USB scanners

The Target time for a prescription type should be set when a prescription is booked in and not retrospectively for previously recorded prescriptions of that type

Favourite Reports function – Whilst it may be possible to do this via Crystal Reports Distributor it was felt a simple to use PTS driven system would be preferred.

Simplify suspension process if a prescription needs to be suspended for a longer duration than originally envisaged i.e. if another hour required scan suspend for one hour not one hour plus the original suspension time

If a prescription is given a ‘required by’ date need the option not to show on the home page until the due date – however the wards may still need to see this information with the ability to possibly limit the number of days shown on home page

Outpatient screen to show suspend summary details against the individual prescription

If Prescription Type is amended whilst dispensing is still in progress the scanning sequence should be amended accordingly.

Reports and home page should differentiate between Suspended and Not required by items

The facility was requested for a ‘Restart Dispensing Time’ barcode. This was required if items were booked in on ward but prescription was not passed to dispensary until sometime later

A facility to produce a ‘child’ prescription barcode to allow a prescription to be split and for both elements still to be tracked. Home page would group ‘Parent’ and ‘child’ prescriptions.

A facility to ‘hide’ deleted ‘inactive’ staff

A general request was made for all users to be notified when the new version is released.

The group discussed the ability to track the remote delivery of items to other hospitals with the trust or even into another trust. This could be achieved in several ways using the PDAs or even smartphones. This is to be discussed further with Theresa Leach from Worthing.

Hardware Options

Before and during lunch it was possible for interested parties to see the hardware options available for PTS, Clarity and ICE applications

ICE Presentation

Marc presented another TMS Insight application with possible uses within the NHS. The presentation will be circulated with the minutes. ICE can be used for almost any inspection that is required within the NHS or most other organisation types.

Support Workshop

Chris led a workshop where support issues could be discussed and resolved if possible:

Booking-In Screen constantly refreshing – Fill the fields in from left to right do not miss prescription type

Many users with the latest version of PTS complained about the system saying a stage had been missed when users were convinced that they had scanned correctly. Chris Gale is going to give this high priority in checking and solving. He will be visiting Walsall to replicate the problem and develop a solution.

Multiple patient, unreadable barcodes – If name contains hyphen or commas the resultant barcode is not readable

Cancel prescriptions – Currently system allows clock to continue ticking for cancelled items it was suggested that it should stop one cancelled.

The cancel prescription button should be made clearer what it does

Issues with reporting speed was raised – Those attendees having this problem should raise a ticket and Chris / Marc can suggest a solution to this relating to file indexing

Theresa, Worthing, reported a problem with new users barcodes not being able to be scanned. Please raise a ticket and Chris / Marc will look into this.

Facility to report on scanning errors, i.e. those prescriptions that had to be manually completed at the end of the day – It is possible to filter prescriptions by the notes field containing the words ‘manually completed’.

Could attendees please raise support tickets for any items that do not appear in the list above?

AOB

Andrew told the group that the intention was to hold two user group meetings per annum and asked for suggestions re the location.

Consensus was to have one event in the South East and another in the North West in an attempt to encourage other users to participate.

It was agreed that minutes would be circulated to attendees and also posted on a new User group thread on the TMS Insight forum. E-mail addresses have been included in the attendees section of the minutes to facilitate attendees to communicate directly with each other (note: I removed the email addresses from the forum version - Marc).
