Overview

Setup is found in the grey left-hand side bar. Hover over the sidebar with the cursor and the bar will expand. Select Setup to expand a drop-down list of setup pages within PTS. To choose a setup page, select its name from the list.

Nearly every type of prescription is assigned a ward at booking in. Users on the ward - such as nurses - are typically given a read-only view of the system based exclusively on their assigned ward, which they can use to monitor the progress of their prescriptions.

When possible your list of wards will be imported into the system by your PTS technician during initial installation.

Adding new ward

To create a new ward access the actions menu by clicking on the actions menu icon at the top right of the page, then from the actions menu click the New Ward button.

You'll be asked to fill in a few details about the ward before getting to the ward popup.

Unlike most of the other setup pages you will be asked for a few details before you can create the ward:

  • Name
    The name of the ward.
  • Dispensaries that will serve this ward
    From the drop down list of available dispensaries click on the ones that can serve this ward. If you select more than one dispensary you'll also be asked to specify which one is the default.
  • Create user?
    Enable this to create an associated generic ward user account for this ward. This is a popular option; the alternative is to create individual PTS accounts for everybody on the ward.
  • Template
    The role, or template for the new user account. Select the appropriate role from the drop down list e.g. Ward Staff.
  • Password
    Set a password for the ward user. This can be changed later if required.

Click OK when you're done. The process then continues in the ward popup. If you chose to create a ward user it will now be available in the users setup page.

Editing existing wards

To edit an existing ward, select the ward you wish to amend by clicking on its entry in the list to load the ward popup (note clicking the tickbox has another dedicated function).

The ward details tab.
  • Description
    The name of the ward.
  • Open?
    Whether the ward is open. A closed ward will not be available to select on the booking in screen.
  • Discharge lounge?
    You can create a discharge lounge by creating it as a ward here and enabling this option. Users that have the permission to "move" prescriptions will have the ability to move a prescription from its current ward to a discharge lounge.
  • EPrescribing ID
    This will be used by TMSi and Trust IT when implementing an e-prescribing solution. This is the ward identifier used by the third party e-prescribing system.

Dispensaries tab

Here you can specify the dispensaries that serve the ward. This prevents the ward from appearing on other dispensaries booking in screens. Use the Plus button to add a dispensary to the list.

Ward groups tab

By allocating the ward to a ward group you can organise it together with other wards that are related in one way or another, such as grouping them together by hospital wing. First and foremost ward groups are just another way to customise user views and reports, but crucially they can also be used to streamline the collection procedure. By scanning a "ward group collection code" it's possible to collect not only a whole ward's prescriptions, but the prescriptions for the entire ward group using just a single barcode. This can be useful to line up the PTS collection procedure with how your collections are already carried out. This is relevant when recording collection with barcode scanners but is not related to the dedicated PTS delivery mobile app, where prescriptions/groups are collected using touch inputs.

Click on the Plus button to select from the list of ward groups that have been created on the ward groups setup page. You can assign wards to multiple ward groups.

To remove a previously added ward group from the list, click the Delete button (this does not delete the ward group from the system, it just removes it from this list).
